How to Record Voicemail Greetings

  • The Unavailable Message is played when your phone rings and no one answers.
  • The Busy Message is played to the caller when your phone is set to Do not Disturb, and when you Reject an incoming call.
  • Temporary Greeting is a little different; you can set this if you'll be out of the office or on vacation. Setting a Temporary Greeting will override all your other greetings.

How to Record a Greeting or Message

  1. Dial #your extension, and then press the green button to call it.
  2. Type in your password (You may have to press * before you enter your password).
  3. Press 0.
  4. Follow the voice prompts to record your greeting.
When a caller reaches your greeting or voicemail, they have the option to press 0 to return to the main menu so they can try another extension without having to hang up and start over. So, you may want to include instructions to "Press 0 to return to the main menu" in your greeting.

Removing a Temporary Greeting

Since the Temporary Greeting overrides your other greetings, it's important to delete the greeting when you've returned to the office. To do this:

  1. Dial #, your extension, and then press the green button to call it.
  2. Type in your password (You may have to press * before you enter your password).
  3. Press 0.
  4. Follow the voice prompts to manage your temporary greeting.
  5. If you have a Temporary Greeting recorded, you'll have the option to delete it.
